This Privacy Policy explains how RocMode Pty Ltd (ABN 18 694 476 518) ("RocMode", "we", "us", or "our"), collects, uses, stores, shares, and protects information in connection with the RocMode platform, available at https://rocmode.io (the "Service").

RocMode is a brand operating system that helps organisations manage their brand and publish and analyse marketing content across connected platforms, including LinkedIn, Meta, and Google. By using the Service, you agree to the collection and use of information in accordance with this Policy.

We handle personal information in accordance with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs), and — where applicable — the EU/UK General Data Protection Regulation (GDPR) and the California Consumer Privacy Act (CCPA/CPRA).

1. Who we are

The data controller responsible for your information is: RocMode Pty Ltd
Registered office: 23 Isabel Street, Toowoomba City QLD 4350
ABN: 18 694 476 518
Privacy contact: privacy@rocmode.com (see Section 15)

2. Information we collect

We collect the following categories of information:

Account and contact information. Name, email address, organisation name, role, and authentication credentials when you register for or log in to the Service.

Brand and content data. Information you provide or generate about your organisation's brand, including brand guidelines, assets, documents, campaign content, and related metadata that you upload or create in the Service.

Connected platform data. When you authorise RocMode to connect to a third-party platform (such as LinkedIn, Meta, or Google), we access and process data from that platform on your behalf, strictly within the scope of the permissions you grant. This is described in detail in Sections 4 and 5.

Usage and technical data. Log data, device and browser information, IP address, and interactions with the Service, collected to operate, secure, and improve the platform.

Cookies and similar technologies. As described in Section 12.

3. How we use information

We use the information we collect to:
  • Provide, operate, and maintain the Service;
  • Authenticate you and secure your account;
  • Enable the brand management, content generation, publishing, and analytics features you use;
  • Connect to and exchange data with third-party platforms you authorise;
  • Generate insights and content using AI processing (see Section 6);
  • Communicate with you about the Service, including support and administrative messages;
  • Detect, prevent, and address technical issues, fraud, and abuse;
  • Comply with our legal obligations and enforce our terms.
We do not sell your personal information, and we do not use your data or connected-platform data for advertising to you or for training third-party advertising models.

4. Third-party platform integrations

The Service integrates with third-party platforms through secure, industry-standard OAuth authorisation. We use a third-party OAuth provider (Nango) to manage authorisation tokens securely. You control which platforms you connect and can revoke access at any time, either within RocMode or directly in the third-party platform's settings.

Platforms we may connect to include:
  • LinkedIn (organic content management and advertising APIs);
  • Meta (Facebook and Instagram);
  • Google (Google Analytics 4, Google Ads).
We only access the data and permissions (scopes) that you explicitly authorise, and only for the purpose of delivering the features you use.

5. Use of LinkedIn data

Where you connect a LinkedIn organisation or account to RocMode, we access and process LinkedIn data solely to provide the community management and marketing features you have requested, and in full compliance with the LinkedIn API Terms of Use and the LinkedIn Marketing / Community Management API Program requirements.

Data we access from LinkedIn. Depending on the permissions you grant, this may include: your authenticated profile identifier and basic profile information; the LinkedIn organisation pages you administer; organic content and posts associated with those pages; engagement and analytics data; and comments or social actions on your organisation's content.

How we use LinkedIn data. We use LinkedIn data only to:
  • Publish, schedule, and manage organic content to LinkedIn organisation pages you administer;
  • Retrieve and display engagement, reach, and performance analytics for your content;
  • Enable community management activities (such as viewing and responding to comments) that you initiate.
LinkedIn data handling commitments. We specifically commit that we will:
  • Use LinkedIn data only to provide the features you have authorised, and for no other purpose;
  • Not sell, rent, or license LinkedIn data to any third party;
  • Not use LinkedIn data for advertising targeting, for building or enriching independent data products, or for training machine-learning models;
  • Not share LinkedIn data with any party other than the infrastructure sub-processors described in Section 8, which act on our behalf under contract;
  • Store LinkedIn data securely and only for as long as needed to provide the Service (see Section 9);
  • Delete LinkedIn data promptly upon your request, upon disconnection of your LinkedIn account, or upon termination of your RocMode account;
  • Comply with all applicable LinkedIn platform policies and applicable data protection laws.
You can disconnect LinkedIn from RocMode at any time, which revokes our access and stops any further data collection from LinkedIn.

6. AI processing

RocMode uses artificial intelligence to generate, analyse, and enhance brand content and insights. To do this, relevant content you provide may be processed by a third-party large-language-model provider (Anthropic) via their API under a commercial agreement that prohibits the use of your data to train their models. AI processing is used only to deliver the features you request. We do not use connected-platform data, including LinkedIn data, to train any AI model.

7. Data storage, location, and security

Your data is hosted with reputable cloud infrastructure providers, primarily in the Asia-Pacific region (Australia). Our current infrastructure sub-processors are described in Section 8.

We apply appropriate technical and organisational measures to protect your information, including encryption in transit, access controls, secure credential and token management, and restricted internal access on a need-to-know basis. No method of transmission or storage is completely secure, but we work to protect your information and continually improve our safeguards.

8. Data sharing and sub-processors

We do not sell your personal information. We share information only in the following circumstances:
  • Infrastructure sub-processors who host and process data on our behalf under contractual data-protection obligations, including: our database and application hosting providers (Supabase, Railway), our graph database, our object storage provider (Cloudflare R2), our OAuth authorisation provider (Nango), and our AI processing provider (Anthropic);
  • Third-party platforms you connect (such as LinkedIn, Meta, and Google), only as required to deliver the features you use;
  • Legal and safety disclosures where required by law, regulation, legal process, or to protect the rights, property, or safety of RocMode, our users, or others;
  • Business transfers, in connection with a merger, acquisition, or sale of assets, subject to this Policy.

9. Data retention

We retain your information for as long as your account is active or as needed to provide the Service. We retain connected-platform data, including LinkedIn data, only for as long as necessary to deliver the features you use.

When you disconnect a platform, delete your data, or close your account, we delete or de-identify the associated personal and connected-platform data within a reasonable period, unless we are required to retain it to comply with legal obligations, resolve disputes, or enforce our agreements.

10. Your rights

Subject to applicable law, you have the right to:
  • Access the personal information we hold about you;
  • Correct inaccurate or incomplete information;
  • Delete your personal information;
  • Object to or restrict certain processing;
  • Data portability, where applicable;
  • Withdraw consent at any time, including by disconnecting connected platforms.
To exercise any of these rights, contact us at privacy@rocmode.io. We will respond within the timeframes required by applicable law. If you are in the EU/UK, you may also lodge a complaint with your local supervisory authority. In Australia, you may contact the Office of the Australian Information Commissioner (OAIC).

11. International data transfers

We are based in Australia and our infrastructure is primarily located in the Asia-Pacific region. If you access the Service from outside Australia, your information may be transferred to, stored, and processed in jurisdictions with different data-protection laws. Where required, we put appropriate safeguards in place for such transfers.

12. Cookies and similar technologies

We use cookies and similar technologies to authenticate users, remember preferences, maintain sessions, and understand how the Service is used. You can control cookies through your browser settings; disabling some cookies may affect the functionality of the Service.

13. Children's privacy

The Service is intended for business use and is not directed to individuals under the age of 16. We do not knowingly collect personal information from children. If you believe we have collected information from a child, please contact us so we can delete it.

14. Changes to this Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date above and, where appropriate, notify you through the Service. Your continued use of the Service after changes take effect constitutes acceptance of the updated Policy.
